C3 Recruits ("C3," "we," "us," or "our") provides college baseball recruiting software and advisory services that help athletes and families research college programs, build a player profile, track coach outreach, and manage the recruiting process. This Privacy Policy explains what personal information we collect, how we use and share it, how long we keep it, and the choices and rights you have.
The short version
We collect the information you give us to run your recruiting account — your profile, academics, baseball metrics, college list, outreach records, and any documents you upload — plus limited technical data about how the site is used.
We use it to operate the platform, send coach emails you draft and approve, show your recruiting activity, process payments and Dugout Fund applications, and answer your questions.
We do not sell your personal information, we do not run targeted advertising, and we do not use your data (or Google user data) to train generalized AI models.
If you are under 18, a parent or legal guardian must be involved and must agree to this Policy before you create an account. You can access, correct, or delete your information at any time — see Section 14.
Who We Are and How to Contact Us
C3 Recruits is the controller of the personal information described in this Policy. Our services are operated from the United States and are offered to athletes, families, club and high school organizations, and college programs nationwide.
Privacy questions, requests, and complaints can be sent to support@c3recruits.com with the subject line "Privacy Request." If you prefer, you may ask us by email for our current postal mailing address. We respond to privacy correspondence within the timeframes required by applicable law.
If you are a parent or guardian and want to review, correct, or delete information about your child, contact us at the same address and we will verify your relationship before acting on the request.
Scope of This Policy
This Policy applies to personal information we process when you:
visit or use c3recruits.com and our other websites, applications, and mobile experiences (together, the "Services");
create an account, build or update an athlete profile, or join through a club, high school, or organization;
use the college research tools, Recruiting Tracker, outreach and email features, messaging, media library, or Virtual Coach;
subscribe to a paid plan, purchase consulting, or apply to the C3 Dugout Fund; or
communicate with us by email, form, or in-app message.
It does not apply to third-party websites or services we link to, to college or athletic association systems, or to information a coach or organization collects from you outside the Services.
Information We Collect
a. Account and identity information
Name, email address, password (stored in hashed form by our authentication provider), phone number, account role (athlete, subscriber, organization staff, or staff administrator), and organization affiliation.
If you sign in with Google, we receive your name, email address, profile image, and a Google account identifier. We do not receive your Google password.
Billing and plan status (see subsection f), and your communication preferences.
b. Athlete profile and recruiting information
Biographical details such as name, graduation year, positions, bats/throws, height, weight, hometown, high school, and club team.
Academic information such as weighted and unweighted GPA, SAT and ACT scores, and intended field of study.
Baseball performance data such as fastball velocity, exit velocity, 60-yard dash, pop time, positional velocity, spin rates, and season statistics.
Highlight video links, social media handles, athletic website links, and "about me" content you choose to add.
Parent or guardian names, phone numbers, and email addresses; high school and club coach contact details; and event or showcase information.
College list and tracker records — target schools, contact history, visit and offer status, priority ranking, and your private notes.
c. Outreach, email, and engagement information
The subject and body of recruiting emails you draft and send through the Services, the coach and school they were sent to, and the date sent.
Engagement data — whether an email was opened, whether a link in it was clicked, and when — generated by tracking links and pixels we place in outreach you send.
When a recipient opens one of your tracked links, we record the school, coach, time, and limited technical request data (such as IP address and browser user agent) so that we can show you which programs engaged and can detect abuse.
In-app messages between you and C3 staff or your organization's staff, and messages you exchange through our messaging features.
d. Documents and files you upload
Transcripts, standardized test score reports, metric reports (for example TrackMan, Rapsodo, or Blast exports), highlight video files, recommendation letters, and images.
Dugout Fund supporting documents, which can include a parent or guardian's tax return.
Uploaded files are stored in access-controlled private storage and are opened through time-limited links. Only people you authorize, our staff who need access to deliver a service, and the systems that process the file can open them.
e. Dugout Fund application information
Date of birth, grade, high school, positions, city and state, athlete and parent contact details, home address, household size, annual income range, funding needs, personal statements, video links, recommendation details, and electronic signatures.
Some of this is sensitive financial and household information. We collect it only because it is necessary to assess need-based assistance, and we ask for your explicit consent before you submit an application.
f. Payment information
Paid plans and consulting are processed by our payment processor, Stripe. Your card or bank details are entered directly with Stripe; we do not receive or store your full card number, CVC, or bank credentials.
We do receive and keep limited billing data — plan, amount, status, last four digits and brand of the payment method, billing country, invoice history, and processor customer and subscription identifiers.
g. Information from organizations and third parties
If you join through a club, high school, or organization, staff of that organization may upload roster files that include your name, contact details, graduation year, and team information.
We may receive information about you from a parent, guardian, coach, or advisor who refers you or submits a form about you.
Our program database contains information about colleges and athletic programs, not about individual consumers, though it includes publicly posted staff contact details.
h. Information collected automatically
IP address, approximate location derived from IP, device type, operating system, browser, referring page, pages and features used, timestamps, and error and performance diagnostics.
Cookie and local-storage identifiers used to keep you signed in, secure the Services, remember preferences, and measure aggregate usage.
What we do not ask for
We do not ask for and do not want your Social Security number, government identification numbers, health or medical records, biometric identifiers, or precise device geolocation. Please do not include that information in free-text fields, messages, documents you do not need to upload, or Virtual Coach chats.
Athletes Under 18 and Children's Privacy
Most of the athletes we serve are in high school. We take that responsibility seriously and have designed the Services accordingly.
a. Minimum age
The Services are intended for users who are at least 13 years old. We do not knowingly collect personal information from children under 13, and we do not permit accounts for children under 13. If we learn that a child under 13 has created an account or provided personal information, we will delete the account and the information. If you believe a child under 13 has provided information to us, contact support@c3recruits.com so we can remove it.
b. Users aged 13 to 17
If you are under 18, you may use the Services only with the involvement and permission of a parent or legal guardian, who must agree to this Policy and our Terms of Service on your behalf. A parent or guardian may review the information in the athlete's account, request corrections, or ask us to delete the account at any time.
c. Protections for minors' data
We do not sell personal information of anyone under 18, and we do not use it for targeted advertising or profiling for advertising.
We do not use personal information of anyone under 18 to train generalized artificial intelligence or machine learning models.
We limit staff access to minors' information to those who need it to deliver a requested service or to address a safety or legal issue.
We do not intentionally make an athlete's contact details, home address, guardian contact details, or uploaded documents visible on a public profile page.
The Dugout Fund application involves financial information about a household. Where the applicant is under 18, the application must be completed and signed by a parent or legal guardian, and we will direct correspondence about the application to that adult.
d. California users under 18
California residents under 18 who are registered users may request removal of content or information they publicly posted. Contact support@c3recruits.com and we will remove the content from public view, although residual copies may remain in backups, or where the law requires us to retain them.
How We Use Information
We use personal information to operate and improve the Services, including to:
create and secure your account, authenticate you, and personalize your experience;
display your athlete profile, college list, tracker, and recruiting activity to you and to the people you authorize;
generate recruiting email drafts, format them with your profile and highlight links, and send them from your connected email account only after you review and approve them;
record engagement (opens, clicks, and profile views) so you can see which programs are paying attention;
provide college research and program matching, including filtering the program database against your academic, athletic, and financial criteria;
provide the Virtual Coach and other AI-assisted features, as described in Section 7;
process subscriptions, payments, invoices, and refunds, and manage organization seats;
receive, assess, verify, and administer Dugout Fund applications and awards;
send transactional and service messages — verification codes, password resets, receipts, application decisions, and security notices;
send newsletters, product updates, and recruiting content where you have opted in, with unsubscribe available in every marketing email;
respond to support requests, complaints, and privacy requests;
detect, investigate, and prevent fraud, abuse, spam, and security incidents, and enforce our Terms of Service;
comply with legal, tax, accounting, and regulatory obligations, and respond to lawful requests; and
produce aggregated, de-identified statistics and benchmarks that do not identify any individual.
Legal bases for visitors in the EEA, UK, or Switzerland
Where data protection law requires a legal basis, we rely on: performance of a contract (providing the Services you requested); legitimate interests (securing and improving the Services, preventing abuse, and communicating with you, balanced against your rights); consent (marketing email, Dugout Fund sensitive information, and optional analytics); and legal obligation (tax, accounting, and lawful requests). You may withdraw consent at any time without affecting processing that already occurred.
AI Features and the Virtual Coach
The Services include AI-assisted features: the Virtual Coach chat assistant, recruiting email drafting, and related guidance tools. When you use them, the text you submit — together with relevant context from your profile, such as graduation year, positions, and metrics — is sent to a third-party AI model provider so that a response can be generated.
We do not use your chats, drafts, or profile data to train generalized AI or machine-learning models, and we do not permit our AI providers to do so under our agreements with them.
AI output can be incomplete, out of date, or wrong, including about recruiting rules, eligibility, admissions, or program details. Treat it as a starting point, verify anything important, and do not rely on it as legal, eligibility, financial, or admissions advice.
Virtual Coach conversations may be stored so the feature works across sessions, so we can review quality and safety, and so we can respond to your support requests.
Do not enter Social Security numbers, financial account numbers, medical information, or other sensitive details into an AI chat.
Coach emails generated for you are drafts: nothing is sent until you review and approve it, and you remain responsible for the content of every message you send.
We do not make decisions with legal or similarly significant effects about you using automated processing alone. Dugout Fund decisions are made by people.
Google User Data, Gmail, and Limited Use
Connecting a Gmail account is optional. If you choose to connect one, C3 Recruits uses Google's Gmail API to send recruiting emails on your behalf.
a. What we can access
Send permission only. The only Gmail permission we request allows us to send an email from your account — specifically, the email you draft and approve in the app.
We cannot open, search, read, or store the contents of messages in your mailbox, and we never access your attachments, contacts, labels, drafts folder, or account settings.
Replies from coaches are delivered to your own Gmail inbox, not to C3 Recruits.
b. How we use Google user data
To send your messages: only the email you draft and approve in the app, from your own Gmail address, to the coaches you select.
To show your outreach status: we record that an outreach email was sent and whether it was opened or clicked, using our own tracking links and pixel placed in that message.
What we save: a record of the outreach, such as the coach, school, subject, message body, and date sent, plus engagement status, so you can track your recruiting activity.
Authorization tokens: your Google authorization is held securely by our authentication and connector infrastructure and used only for the purposes described here until you disconnect.
c. What we never do with Google user data
We do not sell Google user data.
We do not use Google user data for advertising, profiling, or marketing.
We do not use Google user data to develop, train, or improve generalized artificial intelligence or machine learning models.
We do not allow our staff or contractors to read Google user data, except where you ask us to for support, where necessary for security or abuse investigations, or where required by law.
We do not transfer Google user data to third parties except as necessary to provide or improve the sending feature, to comply with law, or as part of a merger or acquisition as described above.
C3 Recruits' use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
d. Disconnecting and deleting
Disconnect at any time using the "Disconnect" option on the email screen, or revoke access from your Google Account permissions page at myaccount.google.com/permissions.
After you disconnect, we immediately stop sending from your Gmail and can no longer act on your account. You may ask us to delete your saved outreach records at support@c3recruits.com.
Google's own terms apply to your Google account and to Gmail, and Google's privacy policy governs Google's processing of your data.
Public Profiles and Coach Visibility
Some parts of the Services are designed to be seen by others. A public athlete profile can be viewed by anyone with the link — including college coaches — and profiles may appear in platform showcase or roster views and may be indexed by search engines.
Public pages may show your name, graduation year, positions, height and weight, high school and club team, hometown, measurable statistics, highlight videos, and social handles — whatever you choose to publish.
Public pages do not display your email address, phone number, home address, guardian contact details, GPA or test scores, transcript, metric report files, or tracker notes.
You control what you add. Do not publish information you want to keep private, and review your profile before sharing the link.
To have a public profile removed or hidden, contact support@c3recruits.com or update your profile settings.
No Sale of Personal Information
We do not sell personal information for money or other valuable consideration, and we do not share personal information for cross-context behavioral advertising, as those terms are defined under California, Colorado, and other state privacy laws. We do not knowingly sell or share the personal information of consumers under 18.
We do not use or disclose sensitive personal information for purposes other than those permitted by law — providing the Services you request, security and integrity, legal compliance, and administering the Dugout Fund with your consent.
How Long We Keep Information
We keep personal information only as long as we need it for the purposes described in this Policy.
| Record type | Retention period |
|---|---|
| Account and athlete profile | While your account is active, plus 30 days after deletion so it can be reversed; backups are cycled within 90 days |
| College list, tracker, and outreach records | While your account is active, then up to 3 years after closure for your own records access, dispute resolution, and reporting |
| Uploaded documents (transcripts, metric reports, videos) | While your account is active, or until you delete the document; deleted files are removed from active storage immediately and from backups within 90 days |
| Dugout Fund applications | Up to 7 years after a decision for applications that result in an award (audit and tax purposes); 2 years for applications that do not result in an award |
| Payment, invoice, and tax records | Up to 7 years, as required by tax and accounting law |
| Support and other communications | Up to 3 years from the last exchange |
| Virtual Coach conversations and AI drafts | Up to 12 months |
| Security and server logs | Up to 12 months, unless needed longer to investigate an incident |
| Aggregated or de-identified data | Retained without a fixed limit, because it no longer identifies you |
We may keep information longer where we are legally required to, where a legal claim or investigation is pending, or where you ask us to keep it. When retention ends, we delete or de-identify the data.
How We Protect Information
Encryption in transit using TLS for all connections to the Services.
Encryption at rest for stored records and uploaded documents, managed by our infrastructure providers.
Role-based access controls, so staff see only what their role requires, with administrative access limited and logged.
Private, access-controlled storage for uploaded documents, opened through short-lived links rather than public URLs.
Hashed passwords and support for multi-factor authentication on your Google account; we never store Google passwords.
Vendor review and contractual security obligations for processors that handle your data.
Ongoing monitoring, backups, and prompt patching of vulnerabilities.
No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security. If a breach affects your personal information, we will notify you and regulators as required by applicable law, without unreasonable delay.
Your Privacy Rights and Choices
Subject to applicable law, and regardless of where you live, you may ask us to:
Know and access the personal information we hold about you, including the categories and specific pieces, the sources, the purposes, and the categories of third parties we disclosed it to.
Correct inaccurate personal information.
Delete personal information we collected from you, subject to legal exceptions.
Port a copy of the information you provided in a portable, readily usable format.
Opt out of sale or sharing of personal information, targeted advertising, and profiling — rights we already honor by not engaging in those activities.
Limit the use and disclosure of sensitive personal information.
Non-discrimination: we will not deny you service, charge you a different price, or provide a different level of service because you exercised a privacy right.
How to make a request
You can update most information directly in your account. To make a formal request, email support@c3recruits.com with the subject "Privacy Request," or have your parent or guardian do so on your behalf. We will acknowledge your request, verify your identity (and, for a minor, your relationship to the athlete), and respond within 45 days, or within the shorter period your state requires. If we need more time, we will tell you why and when to expect a response.
Authorized agents and appeals
You may use an authorized agent to submit a request with written permission from you; we may still ask you to verify your identity directly. If we decline a request, you may appeal by replying to our decision, and we will respond to the appeal in writing. Colorado and Connecticut residents may also contact their state Attorney General if an appeal is denied.
Deleting your account
You can delete your account from Account Settings, or ask us to do it. Deleting your account removes your profile, tracker data, and uploaded files from active systems, disconnects any linked Gmail account, and cancels nothing on your behalf at Stripe — you should cancel your subscription separately. Some records are kept for the periods described in Section 12.
Marketing communications
You can unsubscribe from marketing email using the link in any message or by updating your preferences. We will still send transactional messages — verification codes, receipts, security notices, and application decisions — because they are part of the Services.
State-Specific Disclosures
California residents
This section supplements our Policy for California residents under the California Consumer Privacy Act, as amended by the California Privacy Rights Act. We collect these categories for the purposes described in Sections 6 through 8, and we retain them for the periods in Section 12. You may exercise the rights in Section 14 by emailing support@c3recruits.com ; we will verify your request using information we already hold. You also have the right to know the specific pieces of information we hold and to request that we delete it, as described above.
Other states
Residents of Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, and Virginia have rights to access, correct, delete, and port personal information, and to opt out of sale, targeted advertising, and profiling. We extend those rights to all of our users, regardless of state. Where your state provides a right to appeal a denied request, you may appeal by replying to our decision.
Nevada
We do not sell "covered information" as defined by Nevada law. If you are a Nevada consumer and want to be recorded as a non-sale request, email support@c3recruits.com and we will keep that instruction on file.
International Visitors
We operate the Services in the United States, and personal information is processed and stored there. If you access the Services from another country, you understand that your information will be transferred to and processed in the United States, where privacy laws may differ from those in your country.
Where we transfer personal data from the EEA, UK, or Switzerland, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses. If you are in the EEA or UK, you have the rights described in Section 14, the right to lodge a complaint with your local supervisory authority, and the right to object to processing based on legitimate interests.
Third-Party Links and Services
The Services link to outside websites — college athletic sites, video platforms, partner brands, podcast hosts, and payment pages. Those sites have their own privacy policies, and we are not responsible for their practices or content. Review their policies before providing information to them.
If a partner offers a discount code to C3 members, using it may involve sharing information directly with that partner under their own policy, not ours.
Changes to This Policy
We may update this Policy to reflect changes in our practices, features, or legal requirements. When we do, we will revise the effective date at the top of the page. If the change materially affects how we use personal information, we will provide additional notice — by email, in-app notice, or both — before it takes effect, and where the law requires consent, we will ask for it.
Contact Us
Questions, requests, or concerns about this Policy or our handling of personal information can be sent to support@c3recruits.com. Please include "Privacy Request" in the subject line so we can route it correctly. Parents and guardians, organization staff, and college coaches are all welcome to contact us at the same address.
If you are not satisfied with our response, you may contact your state Attorney General or, if you are in the EEA or UK, your local data protection authority.
